Job Description:   Administrative Assistant / Sales Support Coordinator           

POSITION DESCRIPTION
 
Under general direction, the Sales Support Coordinator assists the Center Manager/Sales Manager in the coordination of follow-up on estimates, holds, and proofs and identifies barriers that prevent the project from moving forward through completion.


RESPONSIBILITIES
 
  • Review the awaiting customer action queue in the Point of Sale (POS) system updating substatuses daily.
·       Assist with client follow ups, receipt of deposits, and order progress tracking as outlined by management.
  • Review estimate queue to ensure estimates are completed in the desired time and remove barriers to enable the swift delivery of estimates.
  • Track the age of the estimates weekly and document them for the Sales Manager.
  • Void old estimates when they are no longer viable as determined by the Sales Manager.
  • Ensure accuracy of the POS client database with correct information, emails, etc.
  • Assist the sales team by securing quotes from vendors for estimates and/or orders. 
  • Track orders from subcontractors to ensure on-time delivery expectations.
  • Triage Gmail and label emails according to the type as defined by management.
  • Call customers to secure payment, email invoices, and statements, and perform the daily reconciliation
  • Ensure all installation photos are in the correct folder and the invoice is sent to the client with a link to the photos.
  • Produce various reports for the Sales Manager for direction and client retention.
  • Participate in and practice the FASTSIGNS sales mentality of “Everybody Sells”. Constantly be looking for sales opportunities for the center. 
·       Tend to the front desk as a point of contact for customer pickups and payments. Initial point of contact for general walk-ins and phone inquiries serving as information gatherer should the sales team be unavailable.

LEVEL OF AUTHORITY
  • No supervisory requirements.
  • Reports directly to Center Manager or Sales Manager

SKILLS
  • Experience in Google Workspace
  • Proficient Organizational Skills
  • Excellent Communication Skills both Verbal and Written

Compensation: $15.00 - $20.00 per hour
